The Problem

The same operational tasks. Every booking. Every property.

For every reservation, there is a sequence of actions. A booking confirmation message goes out. A pre-arrival reminder follows. A cleaning task is prepared. A notification reaches the relevant team member. These actions are predictable — and in most cases, a person doing them manually is the least efficient path through that workflow.

As the portfolio grows, so does the volume of these repeated actions. What is manageable for five properties becomes a significant time cost at fifteen. The tasks do not change — the time spent on them compounds with each additional property and booking.

HostSync Automation Rules let you define these workflows once and apply them consistently. When a trigger fires and the conditions are met, the rule runs. Your team spends less time on routine steps and more time on the work that actually requires their attention.

The Platform

Define once. Apply consistently.

Rules are built from triggers, conditions and actions. Once active, they run when the defined event occurs — across all matching reservations and properties.

What It Does

Rules built for operational consistency.

Rule builder

A step-by-step interface for configuring automation rules. Select a trigger, add conditions and define one or more actions — no programming knowledge required.

Triggers

Rules can be triggered by booking events such as confirmed, modified or cancelled, by check-in or check-out events, or by time-based offsets configured relative to arrival or departure.

Conditions

Narrow when a rule applies using conditions such as property, booking channel, length of stay or booking source. Conditions help ensure rules fire for the right reservations without additional configuration per booking.

Actions

Available action types include sending a guest message, creating an internal task, sending a team notification, or updating a reservation field. Actions are applied when all conditions are met.

Message templates

Automation rules can use guest message templates built in GuestHub. Templates support personalisation variables for property name, guest name, check-in date and other reservation fields.

Workflow management

View, activate, pause and edit all automation rules from a single dashboard. Activity logs show when rules have fired and what actions were taken, helping you audit and refine workflows over time.

Workflow

Triggers, conditions, actions.

1

Choose a trigger

Select the event that starts the rule — such as booking confirmed, check-in day, check-out, or a configured time offset before arrival. The trigger defines when the rule fires.

2

Set conditions and actions

Add conditions to narrow which reservations the rule applies to, then define the action — a guest message, an internal task or a team notification.

3

Activate and monitor

Turn the rule on and it runs when the trigger fires and conditions are met. Manage all active rules, review activity logs and adjust them from the automation dashboard.

Online Check-In

Automation Rules can trigger pre-arrival check-in invitations at a configured interval before arrival, helping guests complete check-in before reaching the property.

FAQ

Questions about Automation Rules

What is an automation rule?
An automation rule is a configured workflow that runs when a defined trigger occurs. Rules are made up of a trigger (the event that starts the rule), optional conditions (criteria that narrow when it applies), and one or more actions (what happens when the rule fires). Examples include sending a guest message when a booking is confirmed or creating an internal task when check-in day arrives.
Do I need programming knowledge to set up rules?
No. Automation rules are configured through a step-by-step interface in your HostSync account. You select a trigger from a list, add conditions if needed, and choose an action. No code or scripting is required.
Can automation rules send guest messages?
Yes, where the connected messaging module supports it. Automation rules can use message templates from GuestHub to send guest-facing messages triggered by booking events. The message is sent through the relevant channel based on the reservation source.
Can I disable or pause a rule?
Yes. Any active rule can be paused or disabled from the automation dashboard without deleting it. Paused rules stop firing until they are reactivated. You can also edit rules at any time — changes apply to future trigger events, not retroactively.
Can rules work together or trigger in sequence?
Multiple rules can fire in response to the same trigger event. If two rules share the same trigger and both conditions are met, both will fire independently. Sequential rule chaining (where one rule triggers another) is not supported in the current release.
Which modules can trigger automation rules?
Triggers are drawn from reservation events (booking confirmed, modified, cancelled), check-in and check-out events, and time-based offsets relative to arrival or departure. As additional modules are connected to the automation system, the available trigger list may expand.
Can automation rules create internal tasks?
Task creation is available as an action type where the task management module supports it. Examples include creating a housekeeping task when a guest checks out, or a preparation reminder for a team member before a same-day arrival.
Are automation rules available on all HostSync plans?
Automation rules are available to all HostSync customers as part of the standard plan. The number of active rules and the range of available trigger types may vary as the platform evolves. Check the Pricing page for current plan details.
