The Problem

Every guest. Every month. Every portal.

Holiday rental operators in Portugal are required to submit guest registration data to two separate government systems: SIBA (Sistema de Informação de Bases de Alojamento) for tourism reporting, and AIMA for border registration of non-EU guests.

Each submission requires logging into a separate portal, compiling guest records from reservation data, filling in structured forms and waiting for confirmation. Multiply that by the number of properties and the frequency of reporting, and compliance becomes a significant operational burden.

HostSync automates the entire workflow. Guest data captured at booking or check-in feeds directly into the required submission format. HostSync compiles the report and submits it — reducing the need for routine manual portal entry.

The Platform

Compliance history at a glance.

Every SIBA and AIMA submission is logged with its status and confirmation reference. Your compliance record is always accessible.

What It Does

Everything compliance requires, automated.

SIBA submission automation

Tourism reporting to SIBA is handled automatically from reservation data. HostSync compiles the required format and submits on the required schedule.

AIMA guest registration

Guest registration for AIMA (formerly SEF) is generated from check-in data. Non-EU guest records are compiled and submitted automatically.

No routine manual portal entry for supported workflows

Your team does not need to access government portals directly for supported workflows. HostSync helps manage the submission process.

Guest data from reservations

All required data — nationality, document type, document number and stay dates — is captured at booking or online check-in and used directly for reporting.

Submission confirmation tracking

Every submission generates a confirmation record with timestamp and reference number. Your compliance history is accessible at any time.

Portugal-specific compliance

Built for Portuguese regulatory requirements. SIBA and AIMA formats are maintained to comply with the applicable accommodation regulations.

Workflow

From reservation to submission in three steps.

1

Guest details are captured at booking or check-in

Reservation data and online check-in responses provide the required guest information automatically.

2

HostSync compiles the required submission

FAQ

Questions about Government Reporting

Which Portuguese government systems are supported?
HostSync handles submissions to SIBA (Sistema de Informação de Bases de Alojamento) for tourism reporting, and AIMA (Agência para a Integração, Migrações e Asilo, formerly SEF) for guest border registration of non-EU guests. These workflows may be required depending on property type, guest nationality and applicable Portuguese rules.
What guest data is used for submissions?
The required data — including guest nationality, document type, document number and stay dates — is captured at booking or through the HostSync Online Check-In module. This data feeds directly into compliance submissions without manual re-entry.
Do I still have to verify submissions myself?
HostSync can submit supported reports when configuration is active and stores the confirmation with reference number. The legal obligation to ensure accurate reporting remains with the accommodation operator. We recommend reviewing compiled reports before submission for any properties with complex guest compositions.
What happens if a submission fails?
If a submission is rejected or fails, HostSync records the error and notifies you. Failed submissions appear in your compliance history with the reason, so the issue can be corrected and resubmitted.
Are other countries' reporting requirements planned?
Government reporting for other European jurisdictions is on the HostSync roadmap. Portugal is the current coverage. Additional country support will be announced as it becomes available.
